How to use Rollup

Rollup adds three calculations monday.com does not have: group subtotals, conditional totals, and totals across boards.

Before you start

You need a board with at least one Numbers column.
A Status, Person, Date, or Text column is useful to group by, but not required.
Rollup only reads. It never creates, edits, or deletes anything on your boards, and it can only read what your own monday account already permits.

Installing

Install Rollup from the monday.com marketplace. Approve the permission request — Rollup asks for read access to boards, and nothing else.

Open any board. Next to the Main Table tab at the top of the board, select +.

Choose Apps, then Rollup. The view is added to that board and stays there.

Asking in plain English

The fastest way to configure Rollup is to ask it. Type a question into the box at the top of the view — for example “total won deals by owner” or “average amount for deals closing after 2026-06-01” — and Rollup builds the calculation: the controls below update to show exactly how your question was interpreted, and you can adjust any of them by hand afterwards.

Questions that mention conditions — “only unpaid invoices”, “deals over 1,000” — become filters, shown as a small tag you can remove with one click. Only your question and your column names are sent to the assistant; your board’s values never leave your browser.

Your first subtotal

The Subtotals tab has four controls. Set them left to right and the table below updates immediately — there is nothing to save or run.

Aggregate — which column holds the values you want totalled.
Using — Sum, Average, Minimum, Maximum, Median, or one of the counts.
Grouped by — board group, any column, or nothing at all for a single figure.
Sort — board order, name, or value.

Totalling Amount by Stage on a sales board gives you this:

Totalling across two boards

Switch to the Cross-board totals tab to total a column on another board against the items on this one — the calculation a formula column cannot do, because it cannot read another board.

Pick the other board under Other board.

Choose how the two boards line up. Linked items follows an existing Connect Boards column. Matching column pairs rows that share a value, such as an account or invoice number, for boards that were never connected. If both boards have a column with the same name, Rollup selects it for you.

Choose the column to total and how to total it. Each item on this board now shows the total of its matching rows on the other board.

Under the table, Rollup reports how many items actually matched — for example “3 of 6 items matched at least one row”. If that number is lower than you expect, the two key columns probably do not hold the same values.

Using it on a dashboard

Rollup is also a dashboard widget. Add a widget to any dashboard, choose Rollup, and pick the board it should read. The controls behave exactly as they do in the board view.

Two things worth knowing

A blank cell is not a zero. Blank cells are counted as items but are not added to the total. A group of five items where two have no value still reads as five items, and the total reflects only the three real numbers.

A dash means undefined, not zero. Averages, minimums, maximums, and medians need at least one value. When a group has none, Rollup shows — rather than 0, because reporting an average of zero for an empty group would be misleading. A Sum of nothing genuinely is 0 and is shown as 0.

If something looks wrong

Totals ignore some rows. Those rows have blank cells in the column being totalled. They still appear in the item count.
A formula or mirror column is missing from the list. monday.com's API does not reliably return calculated values for those column types, so Rollup works from the underlying source columns instead. For a mirror column, point the Cross-board tab at the connected board and total the real column there.
The view is slow on a very large board. monday.com limits API usage across your whole account. Rollup waits and retries automatically.
